CHECK-IN & CHECK-OUT DETAILS:

We provide contactless check-in and check-out. You will be texted check-in instructions and a code to access the property by 3pm (MST) the day of check-in. The code will be used to open the gate at the ranch entrance and to unlock your cabin. It's active from 4pm (MST) the day of check-in to 11am (MST) the morning of check-out. If you have booked multiple cabins, it is your responsibility to communicate with the individuals staying in each of the cabins you've reserved and share with them the codes and instructions for accessing the property. For security reasons, we cannot share this information with anyone other than the individual listed on the reservation.

EARLY CHECK-IN OR LATE CHECK-OUT

Early check-in or late check-out may be available upon request for a small fee. Please contact us before your arrival on the day of check-in to see if we can welcome you at an earlier time. If you would like a later check-out, please contact staff to check availability and avoid being locked out of your cabin. We love to allow our guests to stay as long as possible, but in order to provide an amazing experience to all guests, any unapproved late check-outs will result in additional fees. Late check-outs after 2pm (MST) will be charged for an additional full night's rate. If the cabin has been reserved by another guest that evening and is unavailable for a reservation extension, all personal effects will be removed from the cabin at check-out, and an extra cleaning fee will be assessed.

CHECK-OUT INSTRUCTIONS:

Check-out is at 11am (MST). For a late check-out (fee applies), please contact a staff member to avoid being locked out of your cabin. Check-outs after 2pm (MST)will be charged for another night’s stay. To help reduce waste, feel free to leave any unopened food or drinks you’d prefer not to pack. We’ll gladly pass them along to those who can use them. Please wash any dishes used and take all trash to the nearest dumpster (see map). Lock your cabin and (if used) please ensure your key is safely located in the provided lockbox and that the lockbox is locked. Please text us when you’ve departed.

CANCELLATION POLICY:

Cancel 14 days prior to arrival to receive a full refund. Cancellations within 14 days will be subject to one night's room and tax charge. Early departures or cancellations within 48 hours of check-in will still be chargeable at their full rate. Fees are charged the morning of check-in. All rates are subject to State and Local taxes — These taxes are subject to change without notice.

PET POLICY & SERVICE ANIMAL GUIDELINES:

We're happy to announce that we now allow pets in our Glamping Cabins, Glamping Lofts, and Woodside Deluxe Cabins! There is a pet fee, and a signed waiver with proof of up-to-date vaccinations is required before arrival.

We’re sorry, but we don’t allow pets in the Lakesides, the Lodge, the Loft, Woodside Cottage W6, or the Wagons. Due to the nature of our property, we are unable to accommodate any animals without advance notice, including service animals.

RESORT POLICIES:
To ensure a safe and enjoyable experience for all guests, we kindly ask that you follow the guidelines listed herein during your stay.
Please see the Guest information card located in your cabin for additional details.

    • Office Hours from 9am to 5pm (MST), but we are available by phone at all times.
    • Quiet hours from 10pm to 7am (MST).
    • Free Wi-Fi Network: Holmstead Ranch Password: holmstead
    • Gift Shop is open daily while office staff are on the property. Please Text/Call the current guest line for assistance. Online store coming soon!
    • Provided Items/Linens: Please don’t remove any items or linens from the cabin. Please don’t use grey towels on the beach, or for cleaning shoes, removing makeup, etc. Damaged or missing items will be billed to you.
    • Housekeeping: We don’t provide daily/nightly housekeeping service. If you need additional towels or toiletries, please contact a staff member.
    • Recreational Activities:
      • Use sports courts, playgrounds, and recreational equipment responsibly.
      • Inspect all equipment before use and report any damage.
      • Wear appropriate footwear and safety gear when participating in activities.
      • The lightpoles by the courts are equipped with timers to turn on the lights. Please be mindful of quiet hours and turn off the lights when you’re finished playing.
      • Guests assume all risks associated with recreational use.
    • Animals Rules
      • Please do not attempt to pet the cows or llamas. They prefer to keep their distance from visitors.
      • Please do not feed anything to any of the animals. Some of our animals are on special diets; food that may normally be safe could make them very sick.
      • Please do not climb on fencing or enter any fields, corrals, or stalls.
      • To prevent startling or disturbing other guests, please do not visit the animals after dark.
      • Do not approach, feed, or disturb native wildlife.
      • Store food securely to avoid attracting wildlife.
    • Beach/Lake Rules
      • Guests are responsible for their own safety while using the lake.
      • Swim at your own risk. There is no lifeguard on duty.
      • Life jackets are recommended for all guests.
      • No diving at any time.
      • Be cautious of slippery surfaces around the water’s edge.
      • No stakes in the sand or digging with sharp tools. These can damage the pond liner.
      • Return beach toys & life jackets to the provided bins after use.
      • Paddleboards and Kayaks are available seasonally on a first come first serve basis. Return Paddleboards/Kayaks to the beach after use.
      • Catch and release fishing is allowed at our lake during daylight hours. Equipment is available for rent in the store, first come first serve.
    • Campfire Rules
      • Due to state restrictions, fires may occasionally be prohibited on the property. Please check with the office before using.
      • Fires may only be lit in the provided fire pits.
      • Fire Pits are first come first serve.
      • Fire must be attended to at all times.
      • Use the provided blue water jug to extinguish the fire.
      • Refill the Blue Water jug from the nearest spigot after use.
      • Tidy the area after use.
    • Charcoal/Gas Grill Rules
      • Due to state restrictions, the use of the grills may occasionally be prohibited on the property. Please check with the office before using.
      • Grills are first come first serve.
      • Grills must be attended at all times when lit.
      • Be sure to extinguish fully when finished.
      • Tidy the area after use.
      • Do not dispose of hot coals in trash receptacles.
      • Guests are permitted to bring their own portable grills as long as they have a properly shielded, functioning shut-off valve. Please do not set them up on our turf, and make sure you have an area at least 3 feet in diameter around the stove that is completely free of any flammable vegetation or debris.
    • Fireworks (including pop-its & Sparklers) are not permitted on the property at any time.
    • Fire Regulations: The use and availability of Fire Pits and outdoor grills (both charcoal and gas) cannot be guaranteed in advance. State/Area fire restrictions are common during the warmer times of the year. These fire restrictions must be adhered to at all times under penalty of law. Fires may be additionally restricted outside of state/area ordinances if Resort Staff deem the current weather presents unsafe conditions for open flames. Renter is fully liable for any damage to the property, persons, or nearby areas that result from a fire growing out of control.
    • Smoking Policy
      • Smoking (including vaping) is permitted only in designated smoking areas.
      • Smoking is strictly prohibited inside cabins, near building entrances, and within 25 feet of buildings, porches, or amenities.
      • Dispose of cigarette butts properly in designated receptacles.
      • Guests are responsible for any damages or fire hazards caused by smoking.
      • Failure to follow this policy may result in additional cleaning fees or removal from the property.
    • Alcoholic Beverages 
      • Please drink responsibly.
      • Must be stored and consumed inside your cabin only. Due to the family-friendly nature of the property, no alcoholic beverages are allowed in public areas. 
      • Disorderly, unsafe, or disruptive behavior may result in removal from the property.
    • Cabins & Facilities
      • Do not tamper with electrical, heating, or cooling systems.
      • Keep walkways and cabin areas free of obstacles.
      • Use ladders, lofts, and stairs carefully.
      • Do not remove furniture, linens, or equipment from cabins or shared spaces.
      • Immediately report maintenance issues to staff.
    • Vehicle & Parking Safety
      • Drive slowly throughout the property.
      • Watch for pedestrians, children, and animals.
      • Park only in designated areas.
      • Do not block garages, staff-only access areas, or other guests.
      • The use of off-road vehicles, including but not limited to ATVs, side-by-sides, dirt bikes, etc. are not allowed on the property. Vehicles may be brought onto the property via trailer and driven off the property to be enjoyed.
      • RVs are permitted with advance notice and payment of a resort fee of $75/night. No hookups are available.
    • Children must be supervised at all times, especially near water, fire pits, animals, or recreational equipment.
    • No digging/staking anywhere (including lawns, turf, and beach) without prior approval from management, and the specific location must be agreed upon prior to set up. 
    • Any rented equipment or structures (including but not limited to bounce houses, food trucks, canopies, etc.) brought to the property by the renter or hired vendors must have prior approval from management, and the specific location must be agreed upon prior to set up.
    • Weapons/Archery/Target Shooting: Weapons/Archery/Target Shooting are not allowed on the property, nor is it legally allowed in the public land immediately surrounding the property..
    • Personal Property: Holmstead Ranch Resort is not responsible for loss of money, personal property, or valuables of any kind. To prevent loss, keep your cabin door locked when not occupied and check your cabin thoroughly for personal property before checking out. Abandoned items are held in our lost and found for two weeks.
    • Emergency Procedures & First Aid
      • Report any hazards, injuries, or concerns to resort staff immediately.
      • In case of emergency, call 911 immediately.
      • Notify resort staff as soon as possible.
      • First aid kits are available in all cabins and venues for guest use:
        • Lakesides: on the shelf in the closet
        • Woodsides: in the cupboard above the microwave
        • Woodside 6: in closet
        • Glampings: in desk drawer
        • Wagons: on the table
        • Lodge & Loft: under the bathroom sink
        • Pavilion: second drawer down from the serving counter
        • Clubhouse: second drawer down on the left side of the kitchen sink
    • Any additional rules and regulations listed in cabin/venue spaces/outdoor areas must be followed at all times.

TERMS AND CONDITIONS:

FORCE MAJEURE

Holmstead Ranch Resort shall not be liable for any failure or delay in providing accommodations, services, amenities, or access to the property due to circumstances beyond its reasonable control, including but not limited to acts of God, severe weather, wildfire, flooding, drought, earthquakes, epidemics, pandemics, public health emergencies, government actions or restrictions, utility outages, road closures, natural disasters, labor disputes, civil disturbances, acts of terrorism, or any other unforeseen event that makes operation of the resort unsafe, impractical, or impossible.

If Holmstead Ranch Resort determines that a Force Majeure event materially affects a guest's reservation or the safe operation of the property, the Resort reserves the right to cancel, modify, relocate, delay, or restrict reservations, activities, amenities, or access to portions of the property without liability for any consequential, incidental, or indirect damages, including but not limited to travel expenses, lost wages, alternative lodging costs, or other related expenses.

In the event that a reservation must be canceled by the Resort due to a Force Majeure event, guests will be offered either a refund of monies paid for unused lodging accommodations or a reservation credit toward a future stay, at the Resort's discretion and as permitted by applicable law.

Guests are strongly encouraged to obtain travel insurance to protect against losses resulting from unforeseen events, travel interruptions, or cancellations.

The temporary closure or unavailability of specific amenities, recreational activities, roads, trails, beaches, lakes, fire pits, grills, internet service, utilities, or other features of the property due to Force Majeure events shall not constitute grounds for a refund, discount, or cancellation unless otherwise determined by Resort management.

ASSUMPTION OF RISK, WAIVER, RELEASE OF LIABILITY, AND INDEMNIFICATION AGREEMENT NOT TO HOLD HOLMSTEAD RANCH RESORT, LLC LIABLE FOR NEGLIGENCE

I, in consideration for being granted entrance onto and use of  Holmstead Ranch Resort and the surrounding property (the “Property”), the sufficiency of which is hereby acknowledged, agree to release, indemnify, hold harmless and forever discharge Holmstead Ranch Resort, LLC, and its agents, employees, officers, directors, independent contractors, volunteers, and affiliates (collectively referred to as “Holmstead Ranch” or “released party”) of and from any and all claims, demands, causes of action, lawsuits,  damages, and liabilities, of every kind and nature, whether known or unknown, in law or equity, that I ever had or may have, arising from my entrance upon, and use of, Holmstead Ranch and any and all devices therein. I hereby make such release of Holmstead Ranch and waive any claim against it, whether caused by the negligence of  Holmstead Ranch or otherwise.

I understand that the activities that I may participate in while visiting the Property have inherent dangers and may cause serious injury, including bodily injury, damage to personal property, and/or death. I acknowledge that these dangers may arise from the presence and use of farming machinery, all-terrain vehicles, open water, shallow water with low visibility, undeveloped and hazardous terrain, farm animals, playground equipment, wild animals and reptiles, unfinished construction, lawful hunting activities occurring on neighboring public lands or other activities beyond the control of Holmstead Ranch, and many other sources found on the Property not listed herein.

I understand that swimming, wading, fishing, paddleboarding, kayaking, beach activities, and all other water-related activities involve inherent risks, including but not limited to drowning, slips and falls, submerged objects, collisions, changing water conditions, equipment failure, and other hazards that may result in serious injury or death. I voluntarily assume all risks associated with the use of the lake, beach, and any watercraft or recreational equipment provided or made available on the Property.

I understand that Holmstead Ranch Resort is a rural property and that natural hazards may exist, including uneven terrain, wildlife, insects, reptiles, livestock, agricultural operations, changing weather conditions, and limited visibility after dark. I voluntarily assume all risks associated with such conditions and agree to exercise reasonable caution while on the Property.

I understand that due to the rural location of the Property, emergency medical, fire, law enforcement, towing, repair, and other emergency services may experience delayed response times compared to urban areas.

I understand the inherent dangers within the Property, and I am not relying on Holmstead Ranch to list within this document, or to tell me in person or through posted signage, all possible risks of participating in any activity therein. I understand that Holmstead Ranch makes no guarantee regarding the availability, condition, or uninterrupted operation of any specific amenity, activity, equipment, vehicle, utility, internet service, or recreational feature on its premises. I understand that Holmstead Ranch does not warrant or guarantee an environment that is free from hazards. I understand, on behalf of myself, my heirs, assigns, and next of kin, that I waive all claims for damages, injuries, death, or property loss arising from my presence on or use of the Property that I may have against the released parties, whether caused by the negligence of the released parties or otherwise. I agree that I am solely responsible for the actions and care of any minors accompanying me in any way and agree to indemnify Holmstead Ranch for any injuries or losses suffered by any such minors while on the Property.

By this waiver, I assume any risk associated with participating in group activities and lodging in a group setting.  I agree to hold Holmstead Ranch harmless for any injury I sustain that is caused by another participant at the Property.  I waive any claim against Holmstead Ranch for any damages or injuries resulting from an intentional act effectuated by any individual that is not considered a released party. I agree that Holmstead Ranch is not responsible for my safety or for the safety of any minor accompanying me.

I understand that the Property is located in a high-risk fire zone, and that I am not authorized to start or maintain any fires on the Property without explicit authorization from Holmstead Ranch Resort management. In the event I receive authorization to start or maintain a fire on the Property, I agree that I will do so only within designated fire pits, that I will not leave any fire unattended, and that any fire will be completely extinguished with water after use. I understand that I may be held personally liable for any fire I start or maintain that spreads and causes personal injuries or property damage, including to persons or property outside of the Property, and I agree to indemnify and hold Holmstead Ranch harmless for any such damages I cause from fires.

I acknowledge that the risks described in this Agreement are not exhaustive and that additional known or unknown risks, hazards, and dangers may exist on the Property. I voluntarily assume all such risks, whether specifically identified herein or not.

This privacy notice discloses the privacy practices for www.HolmsteadRanch.com. This privacy notice applies solely to information collected by this website. It will notify you of the following:

  1. What personally identifiable information is collected from you through the website, how it is used and with whom it may be shared.
  2. What choices are available to you regarding the use of your data.
  3. The security procedures in place to protect the misuse of your information.
  4. How you can correct any inaccuracies in the information.

Information Collection, Use, and Sharing
We are the sole owners of the information collected on this site. We only have access to/collect information that you voluntarily give us via email or other direct contact from you. We will not sell or rent this information to anyone.

We will use your information to respond to you, regarding the reason you contacted us. We will not share your information with any third party outside of our organization, other than as necessary to fulfill your request, e.g. to ship an order.

Unless you ask us not to, we may contact you via email in the future to tell you about specials, new products or services, or changes to this privacy policy.

We take precautions to protect your information. When you submit sensitive information via the website, your information is protected both online and offline.

While we use encryption to protect sensitive information transmitted online, we also protect your information offline. Only employees who need the information to perform a specific job (for example, billing or customer service) are granted access to personally identifiable information.
