Event Coordination
Holmstead Ranch Resort provides the venue, lodging, and resort amenities. Event organizers are responsible for planning, coordination, catering, setup, decorating, vendor management, and cleanup.
Booking Requirements
Deposit & Contract: When you are ready to reserve, we require a non-refundable down payment and a signed contract to hold the date. The remaining balance will be due before arrival on the day of your event.
Special Event Liability Insurance. Renter must obtain a special-event liability insurance policy for this Event and name Owner as an additional insured. A minimum of $1,000,000.00 General Liability is required for the event. This policy is to cover all services provided by Renter on the property, including alcohol, food, music, lighting, dance floors, etc., for the Event Date. A certificate of insurance with coverage dates/limits must be provided to the Manager 30 days prior to the Event. The policy can be obtained through a homeowner’s insurance policy or online at www.wedsafe.com.
Waiver: Each guest attending the event must sign a safety waiver. If your guests are booking their own cabins, they will sign the waiver as part of the reservation process.
Compliance with Laws & Permits: Event organizers are responsible for obtaining any permits, licenses, or approvals required for their event activities.
Guest Access
Property Access: Our property is secured with an electronic gate. The gate code for your event will be included in your contract. No access will be granted to anyone without the code.
Cabin Access: If you are paying for all the cabins, you will be given a list of the codes and the check-in instructions to pass on to all your guests. If your guests are booking their cabins directly through us, we will send them their check-in instructions and codes.
Lodging Reservations: Final cabin counts must be determined 4 weeks prior to the event. Unreserved cabins will be released for public booking after that date unless arrangements have been made to keep them reserved.
Pets are permitted only in designated pet-friendly accommodations with advance approval, payment of the pet fee, proof of vaccinations, and a signed pet waiver. *Please note: Pets cannot be left unattended in the cabins at any time.
Event Rules & Property Policies
Attendance Limits: The Event may not be open to the general public and may only include invited guests. The total number of guests is limited to 125, including adults and children.
Outdoor Areas: If you would like to have exclusive use of any of the outdoor areas, you will need to reserve the entire property. A larger discount may be available for any cabins that will remain unused during your event.
Quiet Hours: The event must be cleaned up and concluded by 10pm (MST) to respect the quiet hours of other guests staying on property and nearby property neighbors. If the entire property is reserved, a later use of the indoor spaces may be available.
Alcohol: If you wish to serve alcohol at your event, any alcoholic beverages must be served by a licensed, insured caterer/bartender from the State of Utah and must explicitly comply with Utah state liquor laws. There is an additional fee of $1,500 payable to Holmstead Ranch Resort if alcoholic beverages are to be served. If you have not rented the entire property, alcoholic beverages must be stored and consumed in the interior spaces. No alcoholic beverages are allowed in public areas.
Catering: We don't provide catering or require you to use any particular caterer. Most of the caterers in St. George have worked events out here and are familiar with our venue.
Fireworks (including sparklers & pop-its) are illegal in our area, so are not allowed on the property.
Fire: The use and availability of Fire Pits and outdoor grills (both charcoal and gas) cannot be guaranteed in advance. Check with resort staff before use. State/Area fire restrictions are common during the warmer times of the year.
Off Road Vehicles/RVs: The use of off-road vehicles, including but not limited to ATVs, side by sides, dirt bikes, etc. are not allowed on the property. Vehicles may be brought onto the property via trailer and driven off the property to be enjoyed. RVs are permitted with advance notice and payment of a resort fee of $75/night. No hookups are available.
Safety Notice: Holmstead Ranch Resort is an active ranch with ranch animals, open water, equipment, wildlife, uneven terrain, and other hazards. Children should be supervised at all times.

Decorations & Setup
Decorations:
- Glitter, Fireworks/Sparklers, and Rice may not be used for decoration or celebration.
- You are welcome to use confetti, balloons, real or fake flowers/petals. But they MUST be cleaned up and disposed of properly in the trash at the conclusion of your event. There will be an extra cleaning fee if resort staff have to clean them up after your event concludes.
- Candles may be used in the main rooms of the indoor venue spaces if placed inside a glass container so that wax cannot drip anywhere. Lit candles must be supervised at all times.
- Stapling, nailing, glue, or any tape that leaves residue is not allowed and will result in additional cleaning fees. If you are planning on hanging anything, please speak with Management beforehand to get their approval.
- No holes shall be dug, or stakes placed anywhere (including lawns, turf, and beach) without prior approval from management, and the specific location must be agreed upon prior to set up.
Any rented equipment or structures (including but not limited to bounce houses, food trucks, canopies, etc.) brought to the property by the renter or hired vendors must have prior approval from management, and the specific location must be agreed upon prior to set up.
Event organizers are responsible for returning all tables, chairs, decorations, dishes, and other items to their original condition and location before departure. Cabin items must remain in their specific cabin.
Interior Venue Spaces
Our event spaces can be rented without a full buyout of the resort, but the event must remain solely in the interior space rented. Exterior spaces are for the use of guests with cabin rentals unless prior arrangements have been made stating otherwise. For safety and equipment protection, glass wall systems, sound equipment, and projector systems may only be operated or adjusted by Holmstead Ranch Resort staff.

Pavilion
- Seats up to 120 for dinner, 100 for classroom seating

- 60 black banquet chairs
- Black or white tablecloths are available for all tables upon request. *Limited supply of White Tablecloths, please contact us to ensure we have enough to supply your event.

Each cabin comes equipped with linens & AC/Heat. The cabins with kitchens include a coffeemaker, oven, microwave, fridge/freezer, and basic cooking & dinnerware. Cabins without kitchens have a Mini-Fridge & Microwave. Cabins without Bathrooms have access to private public bathrooms a short walk away.

- 1 Lodge: (3 queen beds, 1 full bed, 6 twin beds (bunk beds), 1 Kitchen, 2 Bathrooms) - Can connect to the Loft through an interior door. Located near the Pavilion and the lake.
- 1 Loft Apartment: (1 queen bed, 1 child daybed, 1 Kitchen, 1 Bathroom) -Can connect to the Lodge through an interior door. Located near the Pavilion and the lake.
- 7 Woodside Cabins: (1 queen bed, 1 twin rollaway bed, 1 twin futon, 1 Kitchen, 1 Bathroom) -Located on their own road (T-Rex Crossing) a short 2-minute walk from the lake.
- 1 Woodside Cottage: (1 queen bed, 1 twin rollaway bed, 1 kitchenette, 1 Bathroom) -Located by the Woodside Cabins, a short 2-minute walk from the lake.
- 5 Small Glamping Cabins: (1 queen bed, no kitchen, no bathroom) - Located closest to the Clubhouse and a short walk from the lake.
- 4 Glamping Lofts: (1 queen bed, 2 twin beds, no kitchen, no bathroom) - Located closest to the Clubhouse and a short walk from the lake.
- 1 Glamping ADA Cabin: (1 queen bed, 2 twin beds (bunk bed), no kitchen, no bathroom) - Located closest to the Clubhouse and a short walk from the lake.
- 2 Glamping Wagons: (1 king bed, 2 twin beds (bunk bed), no kitchen, no bathroom) -Located nearest the office and are a short walk from the lake.

Indoor Wedding Information & Rules
Weddings inside either of our venue spaces (see details above) do not require a full buyout of the resort, but the event must remain solely in the interior space rented. Outdoor Wedding Information & Rules
Outdoor wedding spaces are only available if you reserve the entire property. The event must be concluded and cleaned up by 10pm (MST) to respect the quiet hours of nearby property neighbors.
Set up and tear down are not included with any ceremony locations. For the safety of your supplies and the local wildlife, the setup and teardown of outdoor locations must be completed on the day of your event. No items may be left out overnight. Any chairs, tables, or other items belonging to Holmstead Ranch Resort must be returned to their original location at the conclusion of your event.
None of the outdoor locations has a sound system. Certain locations may have access to electricity for wired connections, but wireless systems are recommended. Notify staff in advance if you plan to utilize an outdoor space for your wedding, and which outdoor space you’ve chosen.

Beach
Our most popular location. Electricity available with the use of an extension cord. This is the most accessible location with the most space for guests. Located closest to the Pavilion.
Field near Labyrinth
No access to electricity. A short walk from the pavilion, but less accessible to those with mobility issues due to the dirt road and walk.
Boulder Backdrop
On the grass across from the pavilion where our cornhole boards are located. Electricity available with the use of an extension cord. Easily accessible location with good space for guests. Located close to the Pavilion.
Orchard
An added fee may apply to rent this location due to the additional maintenance required before and after an event. No electricity available. You will need battery-operated equipment if you wish to have speakers or music. This is the furthest location from our venue spaces. Vehicle transportation for your decor, chairs, & guests will be needed.
